ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides efficient and effective accounting assistance.
  • Performs administrative duties to remain in compliance with contract guidelines and reporting requirements.
  • Processes invoices for payment. Ensures that invoices are scanned and uploaded, accurate, properly approved and coded for entry.
  • Ensures loan payments and general accounts receivable are recorded accurately in the accounting system.
  • Assists in the compilation and tracking of employee expenses and time.


JOB DUTIES

  • Records invoices for payment in the accounting system. Reviews invoice approvals and contract coding. Creates checks and electronic payments for approval. Mails-approved checks as needed.
  • Assists in processing of year-end 1099’s.
  • Records payments received in the accounting system; prepares and takes deposits to the bank as needed.
  • Maintains physical files related to the accounting department.
  • Works closely with the loan administrator to review the schedule of NACHA payments, and to modify and enter data as needed.
  • Makes loan payment entries in the accounting system and provides weekly updates on missed payments. Reconciles loan system to accounting system receivables on a monthly basis.
  • Assists in timesheet management and employee expense processing.
  • Is cross-trained in all payroll entry functions.
  • Provides reports as needed and requested by Executive Director and/or Board.
  • Alerts Chief Financial Officer, Executive Director, or appointed Board of Directors contact in the case of suspected fraud or financial irregularities.
  • Assists in year-end A-133 and Financial Statement audits.
  • Designs and assists MESO clients with accounting systems.
  • Cross-trained to provide backup support for other positions.
  • Maintains punctual, regular, and predictable attendance.
  • Works collaboratively in a team environment with a spirit of cooperation.
  • Respectfully takes direction from manager.
  • Other duties and special projects as assigned.

  • Understanding of GAAP accounting principles, non-profit accounting experience a plus
  • Familiarity with Quickbooks Online, Microsoft Excel, and Microsoft Outlook
  • Strong written and verbal communication skills
  • Excellent attention to detail and accuracy in entering financial data
  • Outstanding math and research skills
  • Ability to maintain confidentiality
  • Proficiency with 10-key typing and data entry
  • Deadline-driven with excellent time management ability
  • Bilingual skills are a plus


EDUCATION and/or EXPERIENCE

Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.


LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; to write routine reports and correspondence; to speak effectively before groups of customers or employees of the organization.


MATHEMATICAL SKILLS

Ability to apply advanced mathematical concepts related to finance. Ability to synthesize complex or diverse information; collect and research data; use intuition and experience to complement data; designs workflows and procedures; demonstrate attention to detail; gather and analyze information skillfully; complete projects on time and budget; demonstrate accuracy and thoroughness; work within approved budget; contribute to profits and revenue; conserve organizational resources.


COMPUTER SKILLS

Most required work is almost exclusively on the computer, but the computer is not itself the focus of the position. Has an advanced understanding and capabilities in using applicable programs and knowledge of networks. Must be a strong reference for other users for performing different functions with the computer. Prefer familiarity with Downhome Loan Manager, Outcome Tracker, Microsoft Office products, and QuickBooks Online Accounting software.


REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

This position requires no certificates, licenses, or registrations.
