This position is a full-time Administrative Assistant with 1-3 years of relevant experience to support our business development and contracts team. The candidate must be detail-oriented, organized, reliable, and have a strong desire to learn.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Plays a key role in supporting the implementation and adoption of a new CRM system/client information database
- Collects, organizes, and uploads marketing and client data into CRM system
- Develops guides for basic database workflows and processes
- Performs quality control checks on data
- Provides day-to-day management of CRM system and ensures content is accurate and up to date
- Provides administrative support to business development and contract activity
- Supports the development and maintenance of marketing materials, including proposals, qualifications statements, presentations, website content, social media posts, and reports
SECONDARY DUTIES AND RESPONSIBILITIES
- Performs background research for target opportunities and clients
- Activates as a part of the Grants team when needed
- Supports marketing and pursuit planning meetings
- May develop charts and graphs and provide basic formatting support and template development to ensure consistency across internal and external communications regarding grants and contracts.

Candidate may choose one of our office locations: NE Portland, Beaverton, Gresham, Oregon City, Oregon; or Vancouver, Washington
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
QUALIFICATIONS
- A.A., B.A., or B.S. in communications, business, marketing, journalism or related degree field or equivalent work experience.
- Microsoft Office Suite, Excel Computer skills in word processing, spreadsheets, and database management
- Excellent organizational and time management skills
- Strong attention to detail and desire to learn
- Flexibility and adaptability to work independently and/or with a team as dictated by projects
EDUCATION AND/OR EXPERIENCE
Bachelor’s degree (B.A.) from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
SKILLS
- Ability to read, analyze, and interpret documents. Ability to respond effectively to the most sensitive inquiries or complaints.
- Very organized, detail-orientated, fast, and comfortable with various software programs and technology including Microsoft Suite products. Ability to provide accurate data entry and review forms to ensure data is submitted.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
